Scholars Program

Carnegie Corporation of New York is a philanthropic foundation established by Andrew Carnegie in 1911 for “the advancement and diffusion of knowledge and understanding.” For over 95 years the Corporation has carried out Carnegie’s vision of philanthropy by building on his two major concerns; international peace and advancing education and knowledge. As a grantmaking foundation, the Corporation will invest more than $100 million this year in nonprofits to fulfill Mr. Carnegie’s mission “to do real and permanent good in the world.” The Corporation’s capital fund, originally donated at a value of $135 million, had a market value of $3.0 billion on September 30, 2007.

The Corporation seeks to hire an Administrative/Research Assistant who will provide research, program and administrative support to the Program Director, Carnegie Scholars Program

Administrative:

1. Review incoming mail from internal and external sources and take appropriate action.
2. Answer telephone, take messages, and refer calls, including inquiries about the Scholars Program.
3. Schedule appointments; track deadlines.
4. Organize and maintain files, including databases for Scholars, nominees, finalists and nominators. Maintain contact database. Maintain and update files on scholars’ accomplishments. Update website as needed.
5. Type and distribute correspondence and grant-related documents written by supervisor including letters to nominators, nominees, finalists, Scholars and reviewers; draft correspondence for supervisor’s signature, including turndown letters; write and sign correspondence as appropriate.
6. Prepare and assemble reports; handle grants management reporting of interim and final narrative and financial reports for scholars and any other grantees in the program. Assist in the assembling of Power Point presentations and papers for publication such as keeping track of footnotes and references.
7. Make supervisor’s travel arrangements; prepare itineraries, process expense reports.
8. Coordinate and oversee Scholars and other meetings, including invitations, RSVPs, participant and speaker travel arrangements, participant expense reimbursements; thank-you letters.
9. Monitor status of nominee proposals, circulate proposals for internal and external review, and assemble notebooks for internal and external reviewers.
10. Prepare and process grant dockets for the Scholars Program and cross-program initiatives.
11. Prepare and track program grantmaking and administrative budgets.
12. Perform miscellaneous duties as required.

Program:

1. To assist the Program Director in researching and preparing material to determine new themes for program: review literature, websites, and related fellowship programs and identify potential new nominators and external advisors
2. To update the accomplishments for all Scholars (144)—contact all Scholars by email and telephone to update impact material (publications, tenure, promotions, awards and field)
3. To read and make comments on prospectuses (approx. 170) and final proposals (65)
4. To consolidate all the nominator and nominee databases so they can be used for planning and evaluation
5. To work with Public Affairs on enhancing the Scholars Program website.
6. To participate in Scholars Program and National Program discussions
7. To prepare reports of Scholars Program activities, as appropriate

Research:

1. To assist the Program Director in archival research on the history of the Corporation and related events and prepare briefing notes
2. To assist in the organization, conduct, and archiving of interviews on issues related to the Corporation’s history

Qualifications:
Excellent organizational, interpersonal and critical-thinking skills; superior written, editorial, and oral communication skills; discretion; initiative; flexibility; judgment. Ability to multi-task, prioritize and meet deadlines. Must be detail oriented, with special attention to accuracy and proofreading. Willing to manage scheduling and prepare and process grant materials. Excellent computer skills including MS Word, Excel, Power Point, Endnotes and Outlook. Committed to mission of Corporation as embodied in Scholars Program and research activities. Undergraduate degree and minimum three years administrative/research experience.

Compensation:
Salary range mid-point $54,000. Compensation commensurate with experience. Excellent benefits, including five weeks vacation, eleven paid holidays, comprehensive, low-cost medical and dental, 15% of total salary in retirement annuity, generous tuition reimbursement.
